Overview 

The Harte Group comprises three businesses in Australia and one in Ireland providing services in civil construction, infrastructure, waste management and landscaping sectors. These services include the following:

  1. EWS Recruitment (Blue Collar Recruitment and Labour Hire).

  2. HEXhire Plant & Equipment Hire (plant and machinery hire).

  3. NexVentur Australia (White Collar Recruitment for middle and senior management).

  4. NexVentur based in Ireland providing human resources from Ireland to Australia to meet clients’ requirements identified by EWS Labour Hire and EWS Recruitment.

The Group has developed a reputation for exceptional service, has a substantial client base across these sectors and is now looking to grow each of the businesses in construction, manufacturing, and other growths sectors of the economy. To this end, the Group wishes to enhance the payroll function of the group and appoint a suitably qualified and experienced Payroll Officer.

The Payroll Officer is responsible for the accurate and timely processing of payroll for internal employees and labour hire staff. This role ensures compliance with relevant legislation, modern awards, enterprise agreements, and company policies. The Payroll Officer works closely with the recruitment, finance, and operations teams to ensure correct timesheet processing, pay rates, client charge rates, and contractor payments.

Reports to:  Chief Financial Officer (CFO)

Payroll Processing

  • Process weekly payroll for labour hire employees and internal staff.

  • Review and validate timesheets submitted by temporary staff and approved by clients.

  • Ensure accurate application of pay rates, allowances, penalties, overtime, and loadings in line with relevant awards and contracts.

  • Maintain payroll records and ensure all employee data is up to date.

Compliance and Legislation

  • Ensure payroll compliance with Australian employment legislation, taxation, superannuation, and Fair Work requirements.

  • Interpret and apply Modern Awards and enterprise agreements relevant to labour hire placements.

  • Process PAYG tax, superannuation contributions, and other statutory deductions.

  • Maintain compliance with Single Touch Payroll (STP) reporting requirements.

Contractor & Labour Hire Management

  • Process payments for contractors where applicable.

  • Coordinate with recruitment consultants to confirm pay rates and assignment details.

  • Ensure correct mapping of employee pay rates to client charge rates.

Timesheet and Billing Coordination

  • Verify timesheets submitted through payroll or timesheet systems.

  • Liaise with clients and internal teams to resolve discrepancies.

  • Work closely with the billing team to ensure payroll aligns with client invoicing.

Payroll Queries

  • Respond to payroll enquiries from employees, contractors, consultants, and clients.

  • Investigate and resolve payroll discrepancies or issues in a timely manner.

Reporting and Reconciliation

  • Prepare payroll reports for management and finance teams.

  • Reconcile payroll accounts including wages, PAYG, and superannuation.

  • Assist with end-of-month and end-of-year payroll reporting, including payment summaries and reconciliations.

Systems and Process Improvement

  • Maintain payroll systems and ensure data accuracy.

  • Identify opportunities to improve payroll processes and efficiency.

  • Support implementation of payroll or workforce management systems if required.

Desirable

  • Experience with recruitment or labour hire payroll.

  • Experience with payroll system FastTrack 360

  • Certificate IV in Accounting/Bookkeeping, Payroll Administration, or similar.
