Site Hawk Security and Stallions Window Industries are growing Victorian businesses serving the construction industry.

Site Hawk Security provides CCTV systems, alarm systems, access control, intercoms, monitoring solutions, and site security services to builders, developers, and commercial clients.

Stallions Window Industries supplies and installs aluminium windows, doors, shower screens, mirrors, wardrobes, and glazing solutions across Victoria.

We are seeking a dedicated Accounts Receivable & Administration Officer to support both businesses by managing invoicing, accounts receivable, payment collections, and general administration.

About the Role

This role is ideal for someone who is highly organised, confident communicating with builders and contractors, and experienced in managing outstanding accounts.

Key Responsibilities

* Prepare and issue invoices accurately and promptly

* Follow up outstanding payments from builders, developers, and customers

* Contact clients via phone and email regarding overdue accounts

* Maintain debtor ledgers and payment schedules

* Reconcile incoming payments and update accounting records

* Assist with progress claims and payment tracking

* Prepare weekly accounts receivable and cash flow reports

* Support general office administration and customer service

* Work closely with management to improve collection processes and cash flow

Skills & Experience

* Previous experience in Accounts Receivable, Credit Control, Bookkeeping, or Administration

* Strong communication and negotiation skills

* Experience using Xero, MYOB, QuickBooks, or similar accounting software

* Excellent attention to detail and organisational skills

* Ability to work independently and manage multiple priorities

* Experience dealing with builders or within the construction industry is highly desirable
