Our client, a well established accounting and advisory firm, is seeking an experienced Administrator / Client Services Coordinator to join their Melbourne office.
You will join a busy accounting team, providing administrative support to ensure day to day operations run smoothly, while working closely with accountants and senior staff in a collaborative professional services environment.
This role suits someone with 2-6 years’ experience in an administrative role within an accounting firm, who brings strong communication skills, professionalism, and a client focused approach.
Key Responsibilities
Manage client services and practice administration tasks, including document preparation, record keeping, payment processing, and general office support
Handle ATO correspondence and assist with lodgements, including updating client details, managing payment plans, and preparing GIC remission requests and related changes
Support IAS/BAS lodgements and broader taxation compliance obligations, ensuring accuracy and timely submission
Support ASIC compliance requirements, including preparation and maintenance of company lodgements, statutory records, and client registers
Coordinate client communications and front office operations, including meeting and greeting clients, answering calls, and managing enquiries
Maintain and update client databases, compliance documentation, scheduling, and workflow tracking to support efficient client service delivery
About you
Previous experience in a Receptionist, Administrator, or Client Services role within professional services, ideally in an accounting environment.
Experience with Xero, FYI Docs, Fusedocs, Fusign, ATOmate, XPM is highly regarded
Immaculate presentation and professional communication style
Strong client service focus
Excellent organisational and time management skills
Ability to prioritise and work under pressure
Strong Microsoft Office skills (Word, PowerPoint, Excel, Outlook)
Exceptional interpersonal skills and ability to liaise with a wide range of stakeholders
Proactive, reliable and punctual
Willingness to learn and take initiative
