About the Role:

This is a diverse and hands-on role that combines accounts receivable leadership, operational coordination, workflow management, and team support. You will play a central role in ensuring invoicing and administration processes are completed efficiently, accurately and on time, while helping improve systems, visibility and overall business performance.

Reporting to the Finance & Commercial Manager, this role is responsible for overseeing accounts receivable activities, improving invoicing workflows, and supporting the team's work effectively toward agreed commercial targets.

You will work closely with consultants, field crews, and administration teams to strengthen commercial follow-through, improve workflow visibility, and reduce administrative barriers. The role also includes leadership responsibilities for a small administration team and involvement in continuous improvement initiatives across systems and processes.

This is a hybrid role, available on a permanent full-time basis, operating out of the Bundoora and Ivanhoe offices.

On any given day, you will be responsible for:

Accounts Receivable & Commercial Administration

  • Lead invoicing, debtor management, and accounts receivable activities to support strong cash flow and timely billing outcomes.
  • Set up and maintain client, contract, and project information across finance and business systems.
  • Coordinate billing workflows, project milestones, and contract administration requirements.
  • Prepare and submit invoices, certificates, and supporting documentation through client portals within required timeframes.
  • Reconcile timesheet and project data to support accurate billing and work-in-progress management.
  • Apply contract pricing adjustments, including standard and agreed fee rate reviews.

Business Support & Operations

  • Provide practical support to Consulting and Field Crew teams to improve workflow visibility and project delivery outcomes.
  • Help improve visibility of utilisation, delivery and invoicing performance to support timely action where needed.
  • Identify and remove administrative or process barriers impacting team efficiency.
  • Coordinate office operations, business administration activities, tenders, registers, and compliance requirements.
  • Assist with supplier support, purchasing, office presentation, and workplace operations.
  • Support insurance renewals, compliance documentation, and business records management.

Leadership & Continuous Improvement

  • Lead and support two direct reports through coaching, guidance, and ongoing development.
  • Contribute to workflow, system, and process improvement initiatives across the business.
  • Support onboarding, recruitment, and training administration when required.
  • Develop the use of accounting and business systems to reduce manual effort and strengthen operational efficiency.

You will be highly organised, detail-oriented, and confident in managing multiple priorities in a fast-paced environment. You will be someone who enjoys improving systems and processes, building strong working relationships, and supporting teams to work effectively and commercially.

You will bring:

  • Experience in business support, finance administration, accounts, and office management roles.
  • Strong experience in accounts receivable, invoicing, debtor management, and finance administration.
  • Experience using Xero accounting software, SharePoint, Microsoft Teams, and other Microsoft Office applications.
  • Excellent organisational and time management skills with strong attention to detail.
  • Strong written and verbal communication skills.
  • The ability to work independently, use initiative, and follow through on outcomes.

The following will be highly regarded:

  • Experience in a consulting, contracting, environmental, or project-based professional services business.
  • Experience with contract administration, client portals, and tender submissions.
  • A qualification in accounting, bookkeeping, business administration or a related discipline.
