Purpose of the Role:
To provide property finance, administration, outgoings management and compliance support across United Petroleum's national property portfolio. The role is responsible for ensuring property-related financial obligations are administered accurately, lease obligations are monitored and complied with, and property-related financial risks are appropriately identified and managed.
Accountabilities:
The responsibilities of the Property Accounts Payable/ Receivable Officer will include but not be limited to:
Property Finance
• Processing and payment of landlord invoices, including rent, council rates, water rates, land tax, insurance, utilities and other recoverable outgoings.
• Processing and payment of ASEH on-charges to United Petroleum.
• Review and verification of landlord invoices against lease obligations and supporting documentation.
• Investigation and resolution of invoice discrepancies and payment queries.
• Daily receipt and reconciliation of subtenant rentals and outgoings.
• Daily bank reconciliation of subtenant rental accounts.
• Preparation and administration of charges to subtenants and dealers.
• Reconciliation of landlord, tenant and subtenant accounts and statements.
• Assisting finance with ledger reconciliations, corrections, BAS support and financial reporting requirements.
• Preparation, review and management of payment batches and approval workflows.
• Review of complex or non-standard transactions and supporting documentation prior to payment.
• Support continuous improvement of property finance processes, controls and reporting.
Lease Administration
• Review of lease obligations relating to adhoc outgoings insurance, repairs, maintenance and property based rates and fees.
• Maintenance of lease records and supporting documentation.
• Filing of lease records and financial documentation
Property Compliance & Outgoings
• Administration and review of outgoings, including council rates, water rates, land tax, insurance, ESM costs and statutory charges.
• Liaison with councils, water authorities, state revenue offices and other statutory authorities regarding property charges and enquiries.
• Review and monitoring of insurance charges and supporting documentation.
• Support investigations relating to utility consumption, water leaks, maintenance charges and other property-related expenditure.
Stakeholder Management
• Management of the national property finance inbox and associated correspondence.
• Liaison with landlords, managing agents, valuers, solicitors, councils, water authorities and other external stakeholders.
• Responding to property-related finance, lease and outgoings enquiries.
• Provide guidance and support to Property Managers and other internal stakeholders regarding lease obligations, outgoings and property finance processes.
• Supporting the Head of Property, Senior Finance Administrator, Property Managers and wider Property Team.
Risk & Governance
• Review and challenge of landlord charges where supporting documentation, lease entitlement or calculation methodology is unclear.
• Identification and escalation of lease compliance, financial and operational risks.
• Support audits, due diligence reviews and property compliance activities.
• Maintain accurate records to support lease compliance and financial governance
• Act as a key control point for verification of landlord charges, lease compliance and property-related financial obligations.
• Experience in property finance, lease administration or commercial property management preferred.
• Strong understanding of commercial lease structures, outgoings and property-related financial obligations.
• High degree of accuracy and attention to detail.
• Advanced Microsoft Office skills, particularly Excel.
• Ability to interpret lease documentation and assess financial implications
• Strong analytical and problem-solving skills
• Ability to manage multiple stakeholders and competing priorities.
