The Administration and Customer Support Officer role supports the smooth running of a community facility through efficient administration, responsive customer service, and hands-on operational support. It involves managing bookings, handling customer enquiries and supporting the day-to-day operations of the facility.  The position is rostered across a variety of community facilities to ensure staff coverage.

What you’ll be doing:

  • Manage appropriate systems to ensure effective and efficient day-to-day administration including general correspondence, purchasing, document management, collation of data and reports.
  • Administer the Facility’s booking system, including point of contact enquiries, maintenance of and adherence to the booking system and administration of accounting processes.
  • Manage customer service requests, complaints, general enquiries and transactions.
  • Assist the community by providing accurate information and advice about Council services in a polite, friendly and professional manner.
  • Ensure effective and efficient day-to-day operation of the facility as per the Facility Operations Manual.
  • Ensure the facility is maintained and well presented to a high standard and any maintenance and cleaning issues are dealt with promptly through liaison with Council’s Building Maintenance Team.

The skills and experience you’ll bring to the role:

  • Ability to make sound judgement concerning the day-to-day performance of the functions required for the effective operation of customer service within the Community Facilities and in accordance with the authority of this position.
  • Proven ability to deliver high-level administrative support in a busy and dynamic environment, including proficiency in managing correspondence, records, scheduling, and reporting.
  • Demonstrated commitment to providing professional, courteous, and responsive customer service to both internal and external stakeholders, with the ability to manage complex or sensitive inquiries effectively.
  • Ability to work across multiple community facilities and adapt quickly to changing priorities, staff absences, and workload fluctuations while maintaining service standards.
  • Proven ability to manage competing priorities, meet deadlines, and work independently with minimal supervision.

Required Certifications & Qualifications:

  • A nationally recognised Certificate in a related discipline (Administration or Customer Service) or relevant experience.
  • A valid Victorian drivers license is a must this role will require travel to multiple sites across Hume City Council
