Summary:

We are seeking a detail-oriented Bookkeeper and Administration Officer to join our team in Ringwood, Victoria. This part-time permanent role offers flexibility in days and hours worked. Ideally, this role is 15-20 hours a week, 4-5 hours a day. This role is ideal for someone who enjoys keeping finances organised, working independently, and supporting a small business across bookkeeping and administration. You’ll take ownership of day-to-day bookkeeping in Xero, help manage cash flow through debtor follow-up, and provide administrative support to the Executive Leadership team.

Financial Management

  • Maintain accurate and up-to-date financial records, including accounts payable and receivable
  • Prepare, process, and reconcile invoices and payments
  • Perform regular bank reconciliations and investigate and resolve discrepancies
  • Assist in the preparation of financial reports and forecasts
  • Ensure compliance with relevant financial regulations and standards
  • Ensure Xero best practice use and system integrity
  • Maintain consistency and accuracy across financial and operational systems
  • Identify opportunities to improve processes and reporting efficiency

Executive & Administrative Support

  • Provide high-level administrative support to the executive leadership team
  • Assist with contract reviews, ensuring accuracy and alignment across documentation
  • Support the preparation and submission of tenders, maintaining consistency across systems and materials

Qualifications:

  • Proven experience as a bookkeeper or in a similar administrative role.
  • Strong understanding of accounting principles and practices.
  • Proficiency in accounting software Xero (essential) and Microsoft Office Suite.
  • Exposure to contract management and/or tender processes (highly desirable)
  • Exceptional organisational skills with strong attention to detail
  • Ability to manage multiple priorities and work independently
  • Strong written and verbal communication skills
