- Interpret and negotiation of variations to contracts to stakeholders.
- Overseeing work by contractors and reporting to management.
- Coordinate site audits, surveillance audits, internal audits, and certification renewals.
- Manage audit schedules, compliance records, corrective action reports, and document control systems.
- Liaise with clients, auditors, exporters, manufacturers, and international halal authorities regarding certification and compliance matters.
- Responds to inquiries and resolves problems concerning contracts, projects, agreements provided, and persons affected
- Assist in maintaining internal quality assurance and compliance systems.
- Support communications and documentation requirements relating to international halal authorities and accreditation bodies.
- Analysing data, preparing reports, and sharing project outcomes with the senior management.
- Advises senior management on matters requiring attention and implementing their decisions.
- Undertake additional administrative, operational, and compliance duties relevant to the organisation.

Task & responsibilities
• Prepare, review, administer and maintain contracts, certification agreements, service agreements and related commercial documentation.
• Coordinate the execution, variation, renewal, extension and termination of contracts and certification service agreements.
• Monitor contractual obligations, deliverables, milestones and performance requirements to ensure compliance with agreed terms.
• Maintain contract registers, document management systems and contractual records.
• Identify contract risks, discrepancies and compliance issues and provide recommendations to management.
• Interpret contractual terms and conditions and provide guidance to internal stakeholders regarding contractual obligations.
• Assist in negotiating contract terms, amendments, variations and service arrangements with clients and stakeholders.
• Ensure all contracts are accurately documented, executed and stored in accordance with company procedures.
• Liaise with clients, auditors, exporters, manufacturers, suppliers and internal departments regarding contractual and certification requirements.
• Coordinate communication relating to contract implementation, renewals, amendments and compliance matters.
• Respond to enquiries concerning contractual arrangements and resolve issues within delegated authority.
• Ensure contractual activities align with halal certification standards, accreditation requirements and company policies.
• Support the administration of certification-related agreements and service delivery arrangements.
• Assist in coordinating site audits, surveillance audits, certification renewals and corrective action processes where contractual obligations apply.
• Maintain compliance documentation and records required by accreditation bodies and international halal authorities.
Qualification & experience
- AQF Diploma or higher Level Qualification
- 1–2 years relevant experience in contract administration, compliance, auditing coordination, documentation management or administrative support
