We are a public accounting practice based in Camberwell, providing accounting, taxation, business advisory and SMSF services to a diverse range of small and medium-sized businesses.
We are seeking an experienced Administration & Corporate Secretarial Officer to join our team and play a key role in supporting our accounting professionals and clients.
About the RoleThis is an administration position ideally suited to someone with previous experience in a public accounting practice or in a similar industry. The successful candidate will be responsible for managing ASIC compliance, corporate secretarial matters, client administration and practice administration support functions.
You will work closely with the Director and accounting team to ensure the smooth operation of the practice and maintain high levels of client service.
Key ResponsibilitiesPreparation and lodgement of ASIC forms
Company incorporations and business name registrations
Changes to company officeholders, shareholders and addresses
Annual company statement reviews and compliance management
Maintenance of corporate registers and company records
Preparation of minutes and resolutions
Trust establishment documentation and administration
Coordination of company deregistration and other ASIC compliance matters
Client onboarding and engagement procedures
Preparation of engagement letters and authority forms
ATO correspondence and lodgement tracking
Monitoring lodgement due dates and workflow management
Maintaining client records and databases
Assisting with AML/CTF compliance requirements
Debtor management, including checking debtor reports and chase clients and then report to directors
Managing incoming client enquiries
Coordinating appointments and meetings
Supporting accountants with administrative tasks
Managing document signing platforms such as DocuSign
Assisting with workflow and practice management systems
Training and supporting junior administration staff
To be successful in this role, you will have:
Minimum 2 years' experience in an Australian accounting practice or in a similar industry
Strong knowledge of ASIC compliance and corporate secretarial services
Experience with company registrations, trust establishments and ASIC lodgements
Understanding of ATO online services and public practice workflows
Excellent organisational and time management skills
Strong written and verbal communication skills
High attention to detail and ability to manage competing deadlines
Proficiency in Microsoft Office applications
Commercial mindset with interest in learning
Approachable, professional, responsive, and reliable
High level of ownership and accountability
Experience with Xero Practice Manager, HandiSoft, Class, DocuSign or similar practice software
Knowledge of AML/CTF requirements
Previous experience supervising administration staff
