About the Role: 

Probiotec LJM is on the hunt for a Customer Service Officer. This role focuses on being the liaison between clients and internal teams (Production, Procurement, Quality, and Sales), ensuring seamless order execution from initial forecasting and SAP setup through to production scheduling, delivery, and post-production reconciliation.

This position is ideal for an organised, systems-savvy coordinator who thrives on bridging the gap between client relations and fast-paced operations.

Responsibilities:

  • Maintain customer satisfaction.

  • Liaise with clients to obtain production/sales orders.

  • Notify the Purchasing Manager of materials that need to be ordered in a timely manner.

  • Coordinate the delivery of customer WIP and packaging.

  • Manage the creation and customer approval of samples.

  • Set up new products in SAP as required.

  • Set up and maintaining item bill of materials in SAP.

  • Enter sales orders into SAP.

  • Create production orders in SAP.

  • Liaise with Production Manager to ensure customer jobs are scheduled and performed in a timely manner.

  • Liaise with clients to gather order forecasts, sharing information with procurement sales and production as required.

  • Update production schedule pending list with large, significant, or urgent jobs as required to ensure production and operations can action accordingly.

  • Liaise with Sales and Quality Assurance to create customer job brief.

  • Relay job brief information to production team.

  • Review client stock holdings, including WIP, packaging and consumables to ensure adequate coverage for forward demand and to prevent slow moving/obsolete stock.

  • Ensure customer complaints are appropriately responded to by LJM staff where required.

  • Enter data into client’s ERP systems where required.

  • Conduct or assist with sales presentations and site tours as required.

  • Attend Production Meetings to aid with information dissemination within the organisation.

  • Aid reception with administration duties when required.

  • Maintain a safe working environment.

  • Contribute to overall company’s procedures and policies.

  • Ensure sales and production orders are closed in a timely manner.

  • Perform post production reconciliations for clients as and when required

  • Other duties as required.

Skills and Attributes:

  • Strong proficiency in Microsoft Office (Word, Excel, Outlook) and SAP

  • Excellent verbal and written communication skills

  • High-level data entry skills with an uncompromising attention to detail

  • Organised, Proactive, Flexible

  • A self-starter mindset with the ability to identify issues early and implement effective, logical solutions.
