We are seeking an Executive Coordinator who is highly organised, emotionally intelligent, and proactive. You will thrive in a dynamic environment, bring clarity to complex situations, and keep key priorities progressing. A Bachelor’s degree in Business or a related field is highly desirable, and a minimum of three years’ experience as an Executive or Personal Assistant is essential.
This role is ideal for a professional who enjoys working with senior leaders, communicates with ease across diverse stakeholders, and takes pride in creating smooth, effective organisational flow.
About the RoleAs Executive Coordinator, you will play a key role in ensuring the CEO’s office operates effectively and that communication, relationships and priorities across the organisation are well supported.

Key Responsibilities
Executive Support
Oversee the day-to-day operations of the CEO’s office, including email management, calendar, travel and meetings.
Improve systems and processes that support the CEO’s time, communication and impact.
Provide high quality support to the Executive Group, including documentation, action tracking and reporting.
Support strategic and operational projects by monitoring deadlines, tracking deliverables and coordinating information.
Prepare correspondence, reports, presentations and briefing materials.
Assist with budgeting, expenses and invoice processes.
Coordinate organisational events such as strategic planning days and staff engagement activities.
Build positive, professional relationships with internal and external stakeholders.
Governance Support
Manage Board and subcommittee schedules, agendas, papers, minutes and action logs.
Maintain strong relationships with Board members and serve as their main liaison for administrative matters.
Support governance compliance requirements, including WWCC, criminal history checks, ACNC and ASIC obligations.
Support Board recruitment, onboarding and training.
Maintain the Board portal and contribute to high quality governance documentation.

Skilled in coordinating projects and/or events.
