We're seeking a confident, capable and highly adaptable Executive Assistant to support a CEO during a busy period of growth and change. This is a temporary assignment commencing ASAP for an initial three-month period, with the potential to extend.

Based in Clayton with free onsite parking, you'll initially work onsite to build relationships and gain a strong understanding of the business, with flexibility for hybrid working once settled into the role.

The Opportunity
This role will suit an Executive Assistant who super organised and enjoys creating order. You'll be comfortable navigating ambiguity and identifying priorities, that support the CEO and wider leadership team. A natural problem solver, you'll be confident taking initiative and anticipating needs before they arise.

You'll be someone who can work in the grey, read the room, anticipate needs before they arise, and confidently step in where required. While highly professional, you'll also bring a down-to-earth, practical approach and enjoy building trusted relationships across all levels of the organisation.

Key Responsibilities

  • Diary and calendar management
  • Email management and correspondence drafting
  • Coordination of travel and logisitics
  • Meeting preparation, agenda coordination and follow-up actions
  • Minute taking and action tracking
  • Stakeholder liaison across internal and external contacts
  • Event and logistics coordination
  • Preparation of presentations, reports and board papers
  • Managing competing priorities and helping keep key initiatives on track
  • Providing general executive and administrative support as required
About You
To be successful in this role, you will demonstrate:
  • Previous experience supporting a CEO, Executive Director or senior executive
  • Exceptional organisational and communication skills
  • Strong judgement and discretion when handling confidential information
  • The ability to work autonomously and confidently make decisions
  • A proactive, solutions-focused mindset
  • Experience operating in fast-paced or evolving environments
  • The confidence to establish structure where processes may not yet exist
  • A warm, approachable and professional style
