Contracts Administrator – Commercial Construction (Procore Required)
📍 Malvern East Office | Commercial Mechanical Projects $250k – $4M

We are a fast-growing commercial mechanical contractor delivering high-quality HVAC and mechanical services across Melbourne and Adelaide.

With a strong pipeline of secured projects and a reputation built on performance, culture and professionalism, we are looking for an experienced Contracts Administrator to join our head office team and play a key role in the continued growth of our business.

This is not a basic admin role this is a genuine commercial position where your work will directly influence project performance, cashflow and profitability.

The Role

Working closely with Directors and Project Managers, you will take ownership of the commercial administration across multiple live projects.

Your responsibilities will include:

• Managing project financial workflows within Procore
• Preparing and submitting progress claims
• Pricing, tracking and managing variations
• Procurement of subcontractors and suppliers
• Cost tracking and forecasting project margins
• Contract administration including notices, EOTs and compliance
• Supporting delivery teams to ensure projects run commercially strong
• Maintaining organised and accurate project documentation

About You

To succeed in this role you will be confident, organised and commercially aware, with the ability to manage multiple projects in a fast-paced construction environment.

You will have:

• Proven experience as a Contracts Administrator in commercial construction
Strong working knowledge of Procore (essential)
• Experience managing projects valued between $250k and $4M
• Excellent communication and negotiation skills
• High attention to detail and strong financial awareness
• A proactive mindset and ability to take ownership of your work
