Position Overview:

We are seeking a highly organised and detail-oriented Plant & Project Administrator to join our team. The ideal candidate will have proven experience in managing project documentation, tender processes, compliance documentation, and procurement activities, ensuring smooth project operations from initiation to completion.

Key Responsibilities:

·         Assist in the coordination and administration of project documentation 

·         Prepare, review, and manage tender documentation and submissions 

·         Request quotes from subcontractors and suppliers for parts, materials, and services 

·         Create and issue purchase orders for the project team, ensuring costs are accurate and within budget 

·         Maintain accurate records of project files, OH&S, policies, procedures and certifications 

·         Liaise with project teams, suppliers, and clients to facilitate effective communication 

·         Support in planning, scheduling, and tracking project milestones and deliverables 

·         Monitor and update compliance registers and documentation requirements 

·         Track and verify costs against budgets and project estimates 

·         Support procurement processes and supplier management 

·         Assist in supporting the Operations Manager to facilitate effective project execution, resource management, and team coordination.

Requirements:

-          Proven experience in project administration, tender management, compliance documentation, and procurement 

-          Strong understanding of industry standards, safety regulations, and certification processes 

-          Strong knowledge of various types of equipment and heavy machinery used within the industry.

-          Ability to interpret technical specifications, manuals, and maintenance schedules related to equipment

-          Excellent organisational and time-management skills 

-          Proficiency in Xero, MS Office Suite and project management software 

-          Exceptional attention to detail and accuracy 

-          Ability to work independently and as part of a team 

-          Strong communication skills

-          Prior experience in the construction, civil, or infrastructure sectors is advantageous
