Job Description: Project Coordinator

Job Title: Project Coordinator Location: Melbourne, Victoria Reports to: Managing Director

Employment Type: Part-Time (Initially; 3 Days per Week will transition to full time)

Candidates must be Australian permanent residents or citizens with valid work rights in Australia.

Job Overview:

The Project Coordinator is responsible for end-to-end coordination of field activities, ensuring all upcoming works are prepared, accessible, and executed efficiently. The role acts as the primary conduit between planners, field teams, clients, landowners, and site contacts to ensure seamless delivery of projects.

Key Responsibilities:

- Coordinate all field activities in alignment with planners and field teams

- Preview upcoming works and ensure readiness prior to execution

- Manage logistics including scheduling, access permissions, and site coordination

- Attend and coordinate difficult or high-risk site access requirements

- Act as the primary communication conduit between internal teams, clients, landowners, and site contacts

- Confirm all site preconditions are met prior to field deployment

- Track progress, risks, and delays and escalate where required

- Maintain accurate records of communications, approvals, and site readiness

ISO Coordination (ISO9001 & ISO45001):
  • Act as the primary point of contact for ISO certification activities
  • Coordinate between external ISO consultants and internal teams
  • Ensure documentation alignment across operational processes
  • Track progress of documentation development and implementation
  • Support continuous improvement and compliance requirements
Requirements:

- Proven experience in coordination of field or project-based activities

- Minimum of 2-3 years experience in field or project coordination activities

- Strong stakeholder communication and organisational skills

- Ability to manage logistics, scheduling, and competing priorities

- Understanding of site access processes and HSE requirements
