The Role
 
This is a hands-on coordination role with real variety - no two weeks look the same. You'll be the organisational engine of the business, keeping people, process, pipeline, and information flow moving as the company scales, while freeing the technical leadership team to focus on what they do best.
 
First, you'll support the Directors in documenting the processes the firm runs on. Then you'll bring those processes to life - tracking, monitoring, and improving them day to day. The role is deliberately broad, and we don't expect candidates to have done all of it before - what matters most is how you work.
 
What You'll Do

  • Support the design and documentation of business processes across all operational domains - from project initiation through to invoicing and HR
  • Own the non-technical processes once documented - maintain them, improve them, and run the operational rhythm of the business
  • Identify when processes are breaking down and fix or escalate proactively
  • Maintain the SharePoint structure - naming conventions, access, and version control
  • Keep the CRM accurate and up to date, manage the BD follow-up calendar, and coordinate proposals end to end
  • Track new clients from signed proposal through to project kickoff
  • Compile inputs for monthly management accounts and core business metrics
  • Maintain HR documentation, coordinate recruitment logistics, and run onboarding for new starters
  • Administer software licences, tools, and systems access

What You'll Bring

  • 3+ years in a professional services, consulting, or engineering environment - capability matters more than tenure
  • Experience owning operational or coordination functions, not just supporting them
  • Exposure to financial reporting inputs and CRM management
  • Comfortable working without big-company systems and support teams around you - small or scaling business experience preferred
  • Switched on, detail-oriented, and analytical
  • Proactive communicator - professionally confident dealing with senior engineers and Directors daily
  • Australian Citizens and Permanent Residents only (including New Zealand Citizens)
