We are seeking a highly organised and proactive Administration Assistant to join our growing team. Working closely with the Managing Director, you will play a key role in ensuring smooth day‑to‑day operations, supporting our therapists, and providing an exceptional experience for clients and referrers. This is a casual role with strong potential to transition into a permanent position.

About the Role

  • Manage appointment scheduling using our practice management software

  • Respond to phone and email enquiries professionally

  • Support client intake, document processing, and waitlist management

  • Liaise with referrers and coordinate new client onboarding

  • Maintain accurate client records and communication logs

  • Coordinate team calendars and provide general admin support

  • Work collaboratively with the Senior Receptionist

  • Review and update admin procedures as needed

  • Identify opportunities to improve client and staff experience

  • Handle confidential information with discretion and integrity

About You

  • Minimum 2 years’ admin experience (NDIS or healthcare preferred)

  • Strong organisational and multitasking skills

  • Excellent attention to detail and confident computer skills

  • Warm, professional communicator—both written and verbal

  • Team‑focused, reliable, and able to work independently

  • Understanding of NDIS, HCP, Medicare, DVA or private health funding (advantageous)
