About the Practice 

Unyoked Health & Family Immunisation Travel Specialists (FITS) are a joint boutique paediatric medical practice and travel medicine / immunisation clinic committed to providing high-quality, compassionate care to children and their families. Our main clinic is based in Malvern, with a satellite clinic in Narre Warren. 

We are seeking a medical receptionist to join our growing team in a unique hybrid role - combining front-of-house work with remote administrative support. 

About the Role 

This role is ideal for someone who enjoys working with families and children, has strong communication skills, and is confident using digital systems. You will be the first point of contact for parents and carers, helping to ensure a smooth and reassuring experience from the first phone call right through to follow-up care.  

You will be joining our team for whom culture is paramount - who prides itself on creating a warm, supportive, and organised environment for all patients and staff.

The role includes both on-site reception duties and remote working tasks, providing flexibility for the right candidate whilst maintaining continuity of care. This role is part-time with the potential to extend to full-time for the right candidate. 

Key Responsibilities 

In-Clinic Duties include: 

  • Welcoming children and families in a calm, friendly, and professional manner 

  • Managing front desk enquiries and appointment check-ins, as well as completing billing and assisting with after-appointment enquiries 

  • Supporting clinicians and nursing staff with day-to-day clinic flow 

Remote Duties include: 

  • Answering incoming calls and emails  

  • Booking and managing appointments and recalls 

  • Processing referrals, correspondence, and medical reports 

  • Liaising with hospital paediatric ward for hospital admissions 

  • Managing patient records and inboxes securely 

  • Medicare billing, private billing, and payment processing 

  • Following up outstanding results, referrals, and paperwork 

About You 

  • Previous experience as a medical receptionist or in a medical field 

  • Expert communicator with parents, carers, and children 

  • Confident using medical software (e.g. Best Practice, MedicalDirector, Gentu, Genie – or similar) 

  • Strong organisational and multitasking skills 

  • Excellent phone manner and written communication 

  • Ability to work independently and reliably when working remotely 

  • Taking initiative to improve and develop new skillsets, particularly around use of technology within healthcare 

  • High level of professionalism, discretion, and respect for patient confidentiality
