Receptionist / Administration Officer (Part-Time)

An exciting opportunity exists for an experienced Receptionist / Administration Officer to join the team at Inspire Physio Care and help deliver exceptional patient experiences across our growing allied health clinics in Melbourne's Northern Suburbs.

At Inspire Physio Care, we pride ourselves on providing outstanding patient care and service. Our modern and welcoming clinics are supported by a multidisciplinary team of Physiotherapists and Allied Health Professionals who are passionate about improving the health and wellbeing of our community.

This is a part-time position with the opportunity to grow within our expanding organisation.

About the Role

As the first point of contact for our patients, you will play a vital role in ensuring the smooth operation of the clinic while delivering exceptional customer service.

Key Responsibilities
  • Managing patient appointments and scheduling

  • Answering incoming phone calls and responding to enquiries

  • Patient reception and customer service

  • Managing accounts, invoicing, and payments

  • Processing Medicare, TAC, WorkCover and private health claims

  • Maintaining accurate patient records

  • Ordering and managing clinic supplies

  • Supporting clinicians and management with administrative tasks

  • Assisting with day-to-day clinic operations

  • Ensuring a professional and welcoming environment for patients

Essential Skills & Experience
We are looking for someone who:
  • Has previous experience in a reception or administration role

  • Has excellent communication and interpersonal skills

  • Is highly organised and able to prioritise competing tasks

  • Demonstrates professionalism and confidentiality at all times

  • Has strong computer and technology skills

  • Is proactive, resourceful and solutions-focused

  • Enjoys working both independently and as part of a team

  • Has a positive, friendly and compassionate approach to customer service

Desirable Experience

The following will be highly regarded:

  • Previous experience in an Allied Health, Physiotherapy or Medical Clinic

  • Knowledge of Medicare billing and claiming processes

  • Experience with HICAPS and Private Health Insurance claims

  • Understanding of NDIS participants and service agreements

  • Experience managing TAC and WorkCover clients

  • Marketing, social media or business development experience
