Key Responsibilities
Order Processing
  • Receive and process customer orders accurately and in a timely manner.

  • Verify product details, pricing, availability, and delivery requirements.

  • Enter orders into the ERP or order management system.

  • Coordinate order confirmations with the sales team and customers.

Inventory and Stock Control
  • Check stock on hand before confirming orders.

  • Monitor inventory levels of solar equipment and components.

  • Liaise with warehouse or logistics teams to confirm stock movements.

  • Flag low-stock items and assist with replenishment planning.

  • Assist with regular stock counts and reconciliation of discrepancies.

Invoicing and Billing
  • Create and issue customer invoices based on confirmed orders and deliveries.

  • Ensure invoices match pricing agreements, purchase orders, and delivery records.

  • Send invoices to customers and maintain billing records.

  • Follow up with finance team regarding billing corrections or adjustments.

Coordination and Communication
  • Work closely with sales, warehouse, procurement, and finance teams.

  • Communicate order status, delays, or stock issues to relevant stakeholders.

  • Support customers with order updates and basic operational queries.

Documentation and Reporting
  • Maintain accurate records of orders, invoices, and inventory transactions.

  • Assist in preparing daily or weekly operational reports.

  • Support audit and compliance requirements through proper documentation.

Qualifications
  • Experience in operations, order processing, logistics, or administration.

  • Familiarity with inventory systems, ERP platforms, or order management software

  • Understanding of invoicing, billing, and basic accounting processes.

  • Experience in wholesale, distribution, electrical, or renewable energy industries preferred.

Skills and Competencies
  • High attention to detail and accuracy in data entry.

  • Strong organizational and multitasking abilities.

  • Good communication skills across internal teams and customers.

  • Ability to work under pressure in a fast-paced environment.

  • Problem-solving mindset, especially around stock and order issues.

  • Basic financial literacy and understanding of invoicing processes.

Preferred Experience
  • Experience in solar, electrical wholesale, or technical product distribution.

  • Exposure to logistics coordination or warehouse operations.

  • Experience working with stock-heavy environments and SKU-based systems
