We have a Medical Receptionist position available at South Yarra Clinic!

We are a progressive, multi-faceted medical practice specialising in Aesthetics, Integrative Healthcare and General Practice.  Based in South Yarra, we are committed to providing outstanding medical care to our patients and providing an exceptional level of customer service.  We are focused on delivering superior administrative support to our clinicians and patients and building a welcoming, friendly and professional work environment for all.

About you:

We are looking for a highly motivated Medical Receptionist to support our clinical team over a 7-day roster.  It is essential that you bring your excellent interpersonal and communication skills to the table, proven track record of a superior level of customer service. Effective time management is vital to success in this position. Working autonomously is also a major part of this role.

PLEASE NOTE: This role may require some evening shifts each week (From 5:30pm to 9:30pm) as well as weekends and public holidays (if/when required), with advance notice being given of such.

The successful candidate will possess a professional, caring and friendly attitude and always have a positive and enthusiastic approach to tasks. Highly developed communication skills and a strong customer focus are essential.

You will be able to work independently, as well as be part of a dynamic and busy team, and always show a high level of attention to detail. You must also demonstrate excellent problem solving and computer/IT skills.

Medical reception experience desired, but not essential for the right candidate.

Full training will be provided for our successful candidate.

MEDICAL RECEPTIONIST POSITION DESCRIPTION

OVERVIEW OF THE ROLE

The reception team is responsible for assisting with the smooth and efficient running of all day-to-day operations of the practice by providing quality administrative support to the Practice Manager and all clinical staff. The reception team will ensure a superior level of customer service is provided to our patients and their families in a professional, caring and welcoming environment.

  • Excellent computer/IT skills and an ability to quickly learn new IT programs

  • Strong working knowledge of MS Word and Excel and other Windows based software systems

  • Working knowledge of Best Practice Software and Zenoti is an advantage, but not essential 

  • An understanding of the Medicare Benefits Schedule an advantage, but not essential.

PRIMARY DUTIES AND RESPONSIBILITIES

Reception

  • Welcome and greeting patients, their families, staff and visitors in a prompt, welcoming and helpful manner, both in person and on the telephone

  • Answer the telephone and respond to requests promptly and professionally

  • Handle all enquiries in a courteous, prompt and professional manner

  • Liaise with all patients, their families, visitors, external companies and all practitioners/staff in a professional, respectful and courteous manner

  • Manage patient appointments and ensuring that all information that is essential to the delivery of service and patient care is collected, and provided relevant information to the patient and their family

  • Perform recall and reminder call duties where necessary for scheduled appointments and results

  • Manage files and patient information to ensure patient confidentiality is maintained at all times

  • Exercise confidentiality in regard to all aspects of the Practice

  • Collect, organise and redistribute any incoming communications (phone, fax, mail, email) promptly and to the appropriate persons

  • Update and monitor patient referrals on an individual basis

  • Undertake scanning, faxing, importing and photocopying tasks when required

  • Prepare documents using Windows based software systems as required

  • Work closely with clinical staff to maximise patient flow

  • Promote the service in a positive and informative way

Financial

  • Inform patients of fees associated with their visit

  • Process and receipt patient accounts and inform of any outstanding balances

  • Process and batch Medicare and DVA claims

  • Invoice TAC and WorkCover companies, receipt payments and inform of any outstanding balances

  • Operate all aspects of billing technologies

  • Complete daily banking reconciliation & reporting for the Practice Manager

Other Duties

  • Prepare practice for daily operation

  • Monitor waiting room to ensure patients are comfortable and informed of wait times

  • Maintain a well organised, clean, efficient and confidential work space

  • Maintain cleanliness of the practice

  • Maintain stationary and clinic supplies

  • Attend to end of day routine cleaning and stock requirements and ensure all furniture and equipment is clean and tidy

  • Follow any ad-hoc directions from the Practice Manager and other senior staff, as required.
