About the role
Vision Radiology Group is seeking a Medical Imaging Receptionist to join our team on a full-time basis at our Ringwood, VIC location. This role is fundamental to the operation of our medical imaging facility, serving as the first point of contact for our patients and a vital member of our administrative team. You will be responsible for managing front desk operations, coordinating patient appointments, and ensuring our clinic runs smoothly whilst maintaining the highest standards of patient care and professionalism. This position offers an excellent opportunity to work within the healthcare sector, contributing directly to the patient experience in a fast-paced, caring environment.
Key responsibilities
Greeting and registering patients upon arrival, ensuring they feel welcome and informed about their appointment
Managing appointment scheduling using clinic management systems, confirming bookings and sending reminders to patients
Processing patient admissions, including collecting personal and medical information accurately and confidentially
Handling patient enquiries via telephone, email and in person with professionalism and empathy
Processing payments and managing financial transactions in accordance with clinic procedures
Maintaining patient confidentiality and adhering to privacy legislation and clinic protocols at all times
Managing correspondence, filing and record-keeping to ensure organised and secure patient documentation
Coordinating with medical imaging technicians and healthcare professionals to ensure smooth patient flow through the facility
Performing general administrative duties including data entry, scheduling and office maintenance
Supporting the wider team with ad hoc duties as required to maintain clinic operations
What we're looking for
Proven experience working as a receptionist in a medical or healthcare setting, or similar administrative customer-facing role
Strong communication skills, with the ability to interact professionally with patients, staff and healthcare professionals
Proficiency in using computer systems and clinic management software, with the ability to learn new systems quickly
Excellent organisational and time management abilities, capable of managing multiple tasks in a busy environment
Attention to detail and accuracy, particularly when handling patient information and financial transactions
Understanding of patient confidentiality, privacy legislation and healthcare compliance requirements
A caring, empathetic approach to patient interactions, with commitment to delivering exceptional customer service
Reliability and professional demeanour, with the ability to work independently and as part of a team
Desirable: Experience in medical imaging clinics or radiology facilities
Desirable: Knowledge of Australian healthcare systems and Medicare processes
