We pride ourselves on providing outstanding customer service in a friendly, supportive, and professional environment. Our team genuinely enjoys working together, and we're looking for a motivated Front Office Coordinator who shares our passion for patient care and attention to detail.
About the RoleAs the first point of contact for our patients, you will play a key role in creating a positive experience from the moment they walk through our doors or contact our practice.
This is a varied role that combines customer service, administration, scheduling, and patient coordination. No two days are the same, and you'll be an important part of ensuring our practice runs smoothly and efficiently.
Key ResponsibilitiesGreeting and welcoming patients and families
Managing appointments and scheduling across multiple locations
Answering phone calls, emails, and patient enquiries
Coordinating treatment appointments and patient journeys
Maintaining accurate patient records and documentation
Assisting with treatment coordination and administrative support
Processing payments and managing accounts where required
Supporting the clinical team with day-to-day practice operations
Ensuring a high standard of customer service at all times
We are looking for someone who:
Has excellent communication and people skills
Is highly organised and detail-oriented
Has exceptional attention to detail and takes pride in getting things right the first time
Can follow systems, processes and instructions accurately and consistently
Is confident managing multiple tasks without compromising accuracy
Can manage multiple tasks and priorities efficiently
Is confident using computers and learning new software
Works well independently and as part of a team
Has a positive attitude and strong work ethic
Takes ownership of their work and follows tasks through to completion
Enjoys building relationships with patients and families
Takes pride in delivering exceptional customer service
Previous experience in a reception, front office, dental, orthodontic, medical, or allied health role is highly regarded but not essential.
Experience with Ortho2, OrthoTrac, or similar practice management software is advantageous but full training will be provided for the right candidate.
