The Opportunity

Our four Directors lead the strategic, operational, and growth aspects of the agency, each bringing expertise across sales, property management, marketing, and business development. They are hands-on leaders, actively involved with clients, community initiatives, and key industry networks. With the agency continuing to expand and a major rebrand underway, their schedules are busier than ever!

We’re looking for a proactive and highly organised Business and Administration Support Officer to join our team. In this role, you’ll work closely with our Directors while also supporting the wider business, playing a key part in keeping everything running smoothly day to day.

To be successful in this role you will have:
  • 5+ years’ experience as an Executive Assistant within the real estate, property, or professional services industry

  • Exceptional organisation skills and be adept at keeping your exec focused on the priorities

  • Excellent  communication skills including good professional writing skills

  • Outstanding attention to detail

  • Strong computer literacy and comfortable with software and systems

  • Well honed interpersonal skills

  • Demonstrated discretion and confidentiality

A bit about the role:
  • Provide high-level administrative support to the Directors and HR Manager, coordinating meetings, agendas, reports, and general operations.

  • Manage onboarding and offboarding processes — including IT setup, system access, business cards, fobs, and staff announcements.

  • Coordinate travel, accommodation, conferences, and training bookings for Directors, Partners, and sales teams.

  • Lead planning and delivery of key staff and corporate events such as Kick Off Day, Mid-Year celebrations, and Christmas functions.

  • Maintain and oversee administrative systems and platforms, including Employment Hero, Keeper, and 3CX.

  • Contribute to a positive workplace culture through staff recognition, anniversaries, gifts, and team engagement activities.
