About the RoleUrban Psychology is seeking an organised and proactive Business Support Officer to work closely with the Operations Manager and provide administrative support across a range of business functions.
This is a varied role that will suit someone who enjoys working across multiple areas of business administration, including human resources, finance, reporting and operational support.
The successful candidate will play an important role in ensuring the efficient day-to-day operation of the organisation and supporting the delivery of services by our clinical workforce.
Key ResponsibilitiesCoordinate recruitment and onboarding processes.
Prepare employment documentation and onboarding materials.
Maintain employee and contractor records.
Assist with staff compliance requirements, including qualifications, registrations and mandatory training records.
Support HR processes and workforce administration activities.
Reconcile bank statements and financial transactions.
Process invoices and upload receipts and supporting documentation.
Assist with bookkeeping and financial record keeping.
Maintain accurate financial administration systems.
Support the preparation of financial reports and audits.
Extract, collate and maintain data from internal databases.
Prepare routine operational, performance and financial reports.
Ensure data integrity and accurate record keeping.
Assist with reporting requirements for internal and external stakeholders.
Provide administrative support to the Operations Manager.
Coordinate meetings, appointments and operational activities.
Assist with clinician scheduling and service coordination.
Liaise professionally with Community Correctional Services staff and other stakeholders.
Support continuous improvement initiatives and business processes.
Undertake general administrative duties as required.
The successful candidate will be expected to manage competing priorities, exercise initiative and maintain a high level of accuracy and professionalism.
Given the nature of our work, the ability to handle sensitive information, including health and justice-related records, is essential.

Previous experience in an administrative, business support, office management or executive support role.
