Personal Assistant to Prof. Sherene Loi

  • 12-months Fixed Term, Part Time Role (parental leave coverage)

About the role
Professor Sherene Loi is a clinician–researcher who holds several key leadership roles, including:
• Senior Consultant Medical Oncologist, Breast Service
• Group Leader, Translational Breast Cancer Genomics and Therapeutics Laboratory
• Breast Stream Lead, Parkville Clinical Trials Unit

This fixed-term position provides comprehensive operational and administrative support to Professor Loi—an internationally recognised clinician scientist—and the Loi Laboratory during a 12-month maternity leave period commencing in late April 2026. Salary will be commensurate with skills and experience.

The Personal Assistant will support Professor Loi’s diverse professional responsibilities by ensuring the efficient and timely management of administrative and operational tasks in a fast-paced environment.

About you

You will have highly developed communication and organisational skills with a proactive and solutions focused approach.

You'll bring with you:

  • Minimum 3 years' experience providing administrative support to executives or academic leaders in a complex, multi-faceted environment
  • Demonstrated experience in a healthcare, research, or academic setting
  • Demonstrated ability to contribute effectively as a participative and supportive team member

  • Demonstrated ability to be professional in all forms of communication

Key Accountabilities

Within the Cancer Research Division:
•    Pre and post award management of internal/external funding applications – particularly grant and fellowship submissions
•    Managing milestones and contractual obligations
•    Assisting with complex travel and conference organisation
•    Preparing and submitting invoices and financial reimbursements
•    Lab members’ leave administration
•    Event coordination and organisation as required
•    Minute taking as required
•    Recruitment and other administrative tasks as required
Within the Department of Cancer Medicine and Clinical Trials:
•    Liaise with patients
•    Clinic schedule assistance for Professor Loi
•    Retrieval of results, histories etc. for inpatients
•    Liaising with Clinical Trials Team
•    Assisting with human ethics administration
•    Responding to changes in patient suitability for trials
