About the role

We are looking for a driven, organised and people-centred Practice Manager to join our team and take ownership of the operational heart of OAK OT. This is an operational leadership role for someone who loves building systems, bringing order to complexity and supporting a team to do their best work every day. 

As our Practice Manager, you’ll play a pivotal role in the smooth and efficient day-to-day operations of the clinic. You will work closely with the Director to support key business decisions and ensure we continue to deliver a high-quality, professional service to our clients, families and the wider community. You will cultivate a positive and high-performing workplace culture, build and maintain operational systems and processes, oversee team workflows and contribute to the strategic direction of the business. 

You will directly lead and manage our Client Support Team, oversee financial administration and ensure compliance with all relevant regulatory requirements - all while maintaining the highest level of service delivery to our clients and families.

What matters most to us is that you are ready to lead with warmth, take initiative and grow with us. This is a part-time position, minimum of 25 hours per week, based on site at our clinic in Caroline Springs. This is a fixed-term role with the potential to extend. 

Key responsibilities
  • Own and oversee all day-to-day clinic operations, workflows and strategies to optimise overall team and clinic performance

  • Ensure exceptional customer service is delivered across all touchpoints, overseeing client onboarding, complaints and satisfaction while building strong relationships with clients, families and referrers

  • Directly lead and manage the Client Support Team, with non-clinical management responsibilities for the clinical team

  • Support HR processes including recruitment, onboarding, training and performance management

  • Oversee invoicing, billing, debtor management and financial reporting

  • Build, implement and maintain operational systems, policies and procedures

  • Ensure ongoing compliance with AHPRA, NDIS, Medicare, health and safety and all relevant regulatory requirements

  • Monitor clinic performance and implement improvements to drive business growth and sustainability

  • Build and maintain relationships with referral partners, community organisations and key stakeholders

  • Support strategic initiatives, business development and marketing direction

About you

We’re not looking for a perfect resume - we are looking for the right person.

  • Background in practice management, operations management, healthcare administration or a related field

  • Experience within allied health, healthcare, disability, community services or NDIS environments

  • Has a solutions-focused mindset, excellent attention to detail and thrives on improving systems and workflows

  • Highly organised and self-directed, with strong time management skills and the ability to manage competing priorities

  • Takes initiative and follows through on tasks with confidence, bringing solutions rather than problems

  • Experience leading or managing a team and driving accountability

  • High level of emotional intelligence and professionalism - able to lead with warmth while maintaining clear accountability

  • Communicates effectively with excellent interpersonal skills to liaise with clients, families, team and stakeholders

  • Brings experience in financial reporting, budgeting and resource management

  • Proficiency in Google Workspace or similar systems - experience with Splose, Xero or Asana is a bonus

What you’ll need

  • Valid Working with Children Check (WWCC)

  • NDIS Worker Screener Check

  • Current First Aid Certificate (including CPR)

  • Valid driver’s license
