The Purchasing Officer plays a key operational role within the Procurement team and serves as a central link between Purchasing, Production, and Warehouse operations to support smooth inventory and production flow.

Success in this role requires proactive supplier engagement, sound commercial judgment, and meticulous attention to detail, particularly in a fast-paced, dynamic manufacturing environment.

Key Responsibilities
  • Manage the full purchasing cycle, from purchase order creation to goods receipt and supplier invoice matching.

  • Maintain accurate and up-to-date purchase orders in Odoo, ensuring correct quantities, pricing, and delivery dates.

  • Coordinate with the Warehouse team to confirm receipt of goods and resolve discrepancies in deliveries or documentation.

  • Oversee and manage the Return-to-Supplier (RTS) process, ensuring timely and compliant handling of returned materials.

  • Monitor and manage supplier performance, including delivery accuracy, lead times, and communication.

  • Ensure product and supplier records are accurate and current within Odoo, supporting data-driven decision making.

  • Analyse backorders and collaborate with Production and Warehouse teams to maintain optimal part availability.

  • Proactively follow up on outstanding orders, delivery delays, and quality issues to minimise production interruptions.

  • Prepare and maintain procurement reports and dashboards, highlighting key purchasing metrics and trends.

  • Contribute to continuous improvement initiatives in purchasing processes, system accuracy, and supplier management.

Systems & Tools

  • Odoo ERP: Core platform for procurement, supplier, and product data management. Prior experience with Odoo or similar ERP systems (SAP, Pronto, NetSuite, etc.) is highly desirable.

  • Microsoft Excel: Intermediate to advanced skills required (e.g. VLOOKUP/XLOOKUP, pivot tables, data analysis).

  • Microsoft Outlook: Daily communication tool for supplier and internal coordination.

Skills & Experience

Required:

  • Australian residents only.

  • Minimum 2 years’ experience in a purchasing, procurement, or supply chain role.

  • Strong attention to detail, accuracy, and follow-through.

  • Confident communicator, able to build effective relationships with suppliers and internal teams.

  • Proficient in Excel and experienced with ERP systems.

  • Ability to manage multiple priorities in a fast-paced environment.

Desirable:

  • Experience in manufacturing, automotive, or caravan sectors.

  • Knowledge of inventory control or materials planning processes.

  • A proactive, improvement-focused approach to procurement and data management.
