In this permanent, part-time position (30 hours per week) based at our Head Office in Mulgrave, Victoria, you’ll join a high-performing Vans team. Your primary focus will be to provide operational support to the Service Operations team, with a primary focus on championing Service Plan Operations. This encompasses overseeing contract management systems, ensuring data integrity across Retailer invoicing by leveraging advanced proficiency in Microsoft Excel. The role also contributes to enhancing the customer's digital journey, support the Roadside and supports key Customer Services Team strategic initiatives.

Key duties & responsibilities:
Manage end-to-end Service Plan operations, including retailer submission monitoring and approvals, fleet queries and support, invoicing processes, and accurate data management and sales tracking v in core systems.
Coordinate service operations by preparing and distributing bulletins, ensuring accuracy of information for customers and retailers, assisting with general service/parts enquiries, and supporting the roadside assistance program.
Support the digital customer experience by building Digital Extras information, assisting with digital messaging, understanding online appointment booking, monitoring digital targets and revenue, and preparing digital performance reports.
Provide project support across key systems initiatives (OneDMS, OneDoc, Salesforce x Vega integration) including attending meetings, completing IT UAT, assisting with launches, and coordinating retailer training activities.
Manage administrative functions such as updating the Marketing Budget Tracker, supporting invoice and spend tracking, preparing meeting minutes, and coordinating team presentations and events.
What you will need to be successful:
1–2 years’ experience in automotive administration or finance, with beneficial knowledge of Accounts Payable processes and SAP/SRM.
Excellent Excel skills, strong organisational and project coordination skills, with the ability to manage competing deadlines and a varied workload.
Excellent communication skills, analytical thinking, attention to detail and a proactive, problem‑solving approach.
Customer-focused, adaptable and collaborative, supported by qualifications in Business/Marketing (or equivalent experience) and a commitment to continuous learning
