We are a high-performing, not-for-profit sporting organisation operating multiple basketball venues and programs across Melbourne’s eastern suburbs. With strong governance, executive leadership, and a commitment to operational excellence, we are seeking a Facilities Operations Officer to support the smooth day-to-day operation of our facilities and operations.

This is not a passive admin role.
This is a critical operational coordination position helping to ensure our venues run without chaos.

About the Role

This is an entry-level, full-time role designed for a capable graduate who wants genuine responsibility early in their career.

You will work directly with the General Manager - Facilities, Operations & Child Safety across venue operations, compliance, event coordination, and administrative systems. You will gain exposure to real operational decision-making and develop practical skills in facilities management, governance, stakeholder communication, and commercial oversight.

This role offers autonomy - but not isolation. You will be supported, coached, and given structured responsibility. In return, you are expected to be organised, proactive, and honest in your communication.

What You’ll Be Responsible For -

Venue Bookings & Scheduling

  • Assist in managing bookings across venues
  • Ensure bookings are accurately recorded and confirmed
  • Identify and flag potential clashes early
  • Maintain organised booking documentation
  • Support preparation of seasonal schedules

Facilities & Maintenance Coordination

  • Log and track maintenance issues
  • Liaise with contractors and venue staff
  • Escalate urgent issues appropriately
  • Follow up to ensure issues are resolved

Event & Operational Support

  • Assist with preparation of event checklists
  • Support venue managers during event planning
  • Track operational readiness
  • Assist with post-event follow-up actions

Child Safety & Compliance Administration

  • Assist with tracking WWCC and compliance records
  • Maintain accurate documentation
  • Support compliance monitoring across clubs and programs
  • Escalate any identified gaps promptly

General Administrative Tasks

  • Court hire and team sheet invoicing
  • Fanmaker administration
  • Any day-to-day tasks as required

Stakeholder Communication

  • Respond to enquiries professionally and within agreed timeframes
  • Provide clear written updates
  • Escalate matters to the GM when required, with context

What We’re Looking For

This role is suited to a recent graduate in Business, Sport Management, Commerce, Operations, Governance, or a related field.

You do not need years of experience - but you must demonstrate:

Essential

  • Strong organisational and time management skills
  • High attention to detail
  • Clear and professional written and verbal communication
  • Confidence to ask questions and escalate early
  • Strong Microsoft Office capability
  • Professional maturity and reliability

Desirable

  • Experience with Skedda or Monday.com
  • Hospitality or retail experience
  • Exposure to compliance or governance environments
