OIA Global is seeking an Operations Coordinator – Import to join our Melbourne operations team. This role will support the coordination of end-to-end import shipments across air and sea freight, including documentation, customer updates, carrier liaison, transport coordination and invoicing.

About the Role

Reporting to the Import Operations Manager, you will assist with the smooth coordination of import air and sea freight shipments from booking through to final delivery. You will work closely with customers, overseas partners, carriers, shipping lines, airlines, customs teams and transport providers to ensure shipments are handled accurately and efficiently.

Key responsibilities include:

  • Coordinating import air and ocean freight shipments from booking to delivery

  • Preparing and processing shipping documentation, including bills of lading, airway bills and import-related documents

  • Tracking and monitoring shipments and providing timely updates to customers and internal stakeholders

  • Liaising with carriers, shipping lines, airlines and transport providers

  • Assisting with transport arrangements for pick-up and delivery

  • Preparing and processing cost and client billing invoices

  • Responding to customer enquiries in a professional and timely manner

  • Supporting the resolution of shipment delays or operational issues

  • Entering shipment and customs data accurately into the freight management system

  • Maintaining operational and compliance records

About You

You will be a proactive and reliable team player who enjoys working in a fast-paced environment. You will have strong attention to detail, good communication skills and the ability to manage multiple tasks while delivering a high level of service to customers.

To be successful, you will ideally have:

  • Strong organisational skills and attention to detail

  • Good written and verbal communication skills

  • Confidence using Microsoft Office, including Outlook, Word and Excel

  • A positive, can-do attitude and willingness to learn

  • Previous experience in administration, logistics, freight forwarding or customer service

  • Exposure to international shipping, customs processes or freight documentation would be highly regarded

  • Knowledge of Incoterms or basic supply chain concepts would be advantageous
