Australia’s Premier Geotechnical and Rock Mechanics Laboratory

Bamford Rock Testing Services is seeking a highly organised and capable Lab Operations Coordinator to support the daily coordination of our specialist geotechnical and rock mechanics laboratory in Coburg North, Victoria.

This role is central to the smooth running of the laboratory. It will suit someone who is highly structured, confident with systems, strong in communication, and comfortable managing multiple moving parts across sample intake, job tracking, documentation, reporting workflows and internal laboratory coordination.

About the Role

The Lab Operations Coordinator will be responsible for supporting and managing the laboratory’s process and sample management systems, ensuring that samples, jobs, documents and internal workflows are tracked accurately from receipt through to completion and archive.

You will work closely with laboratory management, testing engineers, technicians, reporting staff and administration to ensure the right information is available at the right time, and that each job progresses efficiently through the laboratory.

This is a coordination, systems and communication role. It requires accuracy, discipline, follow-through and the ability to maintain control of detailed workflows in a busy technical environment.

Key Responsibilities

The role will include:

  • Coordinating sample receipt, registration, labelling and tracking.

  • Managing internal job flow from sample arrival through testing, reporting and archive.

  • Maintaining and improving laboratory process management systems.

  • Updating sample registers, job trackers, spreadsheets and cloud-based workflow tools.

  • Ensuring test requests, client instructions and project requirements are clearly recorded and communicated.

  • Monitoring job progress and following up with relevant staff to keep work moving.

  • Supporting scheduling of testing priorities and laboratory workloads.

  • Ensuring documentation is complete, accurate and correctly stored.

  • Managing digital file structures, cloud-based records and internal document systems.

  • Supporting report preparation workflows by ensuring all required forms, worksheets and data are available.

  • Coordinating communication between laboratory staff, engineers, clients and administration.

  • Assisting with archive procedures, file completion checks and long-term record management.

  • Supporting quality system processes, including traceability, document control and internal compliance requirements.

  • Identifying workflow bottlenecks and helping improve laboratory systems.

Systems and Process Management

The successful applicant will work across the process and sample management systems developed within Bamford, including:

  • Sample intake and registration systems.

  • Job number and client number tracking.

  • Test allocation and progress tracking.

  • Laboratory worksheet and testing form management.

  • Report, test record and technical document filing.

  • Cloud-based storage and file management.

  • Archive folder completion processes.

  • Internal communication and task follow-up systems.

  • Workflow checklists and quality control checkpoints.

A strong ability to work with structured systems, follow procedures and maintain clean records is essential.

Skills and Experience

The preferred applicant will have:

  • Strong experience using Microsoft Excel.

  • Experience working with cloud-based systems such as Google Drive, Microsoft OneDrive, Dropbox, SharePoint or similar platforms.

  • Excellent organisational and administrative skills.

  • High-level written and verbal communication skills.

  • Strong attention to detail.

  • The ability to manage multiple jobs, priorities and deadlines at once.

  • Confidence following and maintaining structured procedures.

  • Strong computer literacy and the ability to learn new systems quickly.

  • A professional and calm communication style.

  • The ability to work with technical staff, management and clients.

  • A reliable, proactive and accountable work style.

Highly Regarded

The following experience would be an advantage:

  • Experience in a laboratory, engineering, construction, geotechnical, scientific or technical environment.

  • Experience with sample management, job tracking or workflow coordination.

  • Experience with quality systems, document control or compliance procedures.

  • Experience with CRM, project management or laboratory information management systems.

  • Understanding of NATA, ISO 17025 or technical laboratory compliance environments.

  • Experience creating or improving spreadsheets, registers, templates and process documents.
