City Automobiles Melbourne (City Kia) is a family-run business and is seeking a self-motivated and detail-oriented Office Administrator to join our growing dealership team. This is an excellent opportunity for an organised professional who enjoys working in a fast-paced automotive environment and takes pride in delivering accurate administrative and financial support.

About the Role

Reporting to the Dealership Management Team, you will play a key role in the day-to-day administration and accounting functions of the business. Your responsibilities will include supporting financial processes while occasionally assisting with vehicle stock control and ensuring efficient office operations.

Key Responsibilities

  • Processing Accounts Payable and Accounts Receivable

  • Performing daily and monthly bank reconciliations

  • Assisting with vehicle stock control and stock-related administration

  • Maintaining accurate financial and administrative records

  • Processing invoices and supplier payments

  • Following up on outstanding debtor accounts as required

  • Supporting dealership reporting and compliance requirements

  • Assisting management with general office administration duties

  • Liaising with suppliers, customers, and internal departments

About You

To be successful in this role, you will have:

  • Previous experience in an administration, accounts, or dealership support role

  • Sound understanding of Accounts Payable and Accounts Receivable processes

  • Experience with bank reconciliations

  • Strong attention to detail and high levels of accuracy

  • Excellent organisational and time-management skills

  • Intermediate computer skills, including Microsoft Office applications

  • Strong communication and interpersonal skills

  • The ability to work independently and as part of a team

Desirable

  • Experience within the automotive industry or dealership environment

  • Exposure to stock control or inventory administration

  • Experience using dealership management systems. "Pentana" experience will be an advantage, but not mandatory
